When a new client begins their journey with TDY Hero, the process is simple, transparent, and designed to provide convenience at every step. From the initial contact to moving into a furnished rental property and checking out, TDY Hero ensures a smooth, stress-free experience tailored to the unique needs of traveling military personnel.

Completing the Contact Form

The process starts by filling out the contact form on the TDY Hero website. This form gathers basic information such as your name, contact details, and specific requirements for your TDY or PCS lodging. After submitting the form, you’ll immediately receive a welcome message, followed by an invitation to complete a quick questionnaire through our friends at TenantCloud, TDY Hero’s trusted platform for managing agreements, payments, and property details.

Setting Up Your TenantCloud Profile

TenantCloud is the all-in-one portal that allows users to easily manage their stay. It’s user friend platform and amazing mobile app makes accessing important documents and communication a breeze. Through TenantCloud, you can manage your agreements, payments, invoices, and receipts, making the entire process transparent and easy to track.

At this point, you can either:

  1. Specify a property by browsing listings on TDY Hero… OR …
  2. Opt for TDY Hero’s Concierge Service, our 1-on-1 completimetary service that puts you in charge. Simply outline your preferences, such as proximity to base, pet or family-friendly needs, and preferred perks (like grocery delivery, cleaning services, or gym memberships). The TDY Hero team will then find properties that best fit your criteria.

Once you’ve completed the questionnaire, a representative from TDY Hero will contact you within one business day to confirm your preferences and provide additional assistance. This personalized touch ensures that all your needs are understood and addressed.

Property Selection

For those who chose the TDY Hero concierge service, TDY Hero will send you a customized portfolio of available properties based on your preferences. From there, you can select the property that suits your needs.

Agreement and Deposit

Once you’ve chosen your ideal property, TDY Hero will send a rental agreement for you to review and sign. The agreement outlines all the details of your stay, including payment schedules and property terms.

The agreement is not finalized until you submit a refundable deposit, which secures the property for your selected dates. Importantly, TDY Hero protects you under the Service Member Civil Relief Act (SCRA),meaning if your orders change or are canceled, the deposit is fully refundable. This flexibility ensures that you’re never locked into a commitment when military obligations shift.

Host Connection and Check-In Details

After signing the agreement and submitting the deposit, TDY Hero will connect you directly with your Host, who will provide you with welcome instructions and access details, such as door codes, wifi codes, etc. This works much like any other professional short-term rental platform, allowing you to settle in with ease.

Payment and Billing

Your first month’s payment is due seven days before check-in, and most clients choose to use their Government Travel Card (GTC) or personal credit card. This allows TDY Hero to transfer payment to the Hosts to ensure a smooth welcome without any hiccups. If your stay extends beyond a month, subsequent payments are due on the 24th of each month.

Itemized Receipts and Military Reimbursement

TDY Hero understands the importance of compliance with Joint Travel Regulations (JTR) and Defense Travel System (DTS) requirements for military reimbursement. At the end of each month, you’ll receive an itemized receipt that meets these standards. Additionally, if you stay for only part of a month, you’ll receive a final itemized receipt at check-out. This ensures that you can easily file for 100% reimbursement of your lodging expenses without any hassle.

Checkout and Refundable Deposit

At the end of your stay, the checkout process is simple and straightforward. After the property is inspected, your refundable deposit will be returned directly to you. This process is typically prompt, ensuring that you receive your deposit within 7 business days after completing your stay.

Fully Online and Transparent Experience

Throughout the entire process, TDY Hero manages everything online. From agreements and payments to receipts and property details, all transactions and documentation are handled through the TenantCloud platform. This not only offers transparency but also allows for a stress-free, easily manageable experience for military members.
